Permanent Placements

 The activities listed below are our usual practice, however our flexible business structure enables us to tailor services to your special circumstances.  Please discuss the most appropriate strategy with your Consultant.

  • Investigation of role requirements with you to decide on priorities for preparation of an effective job specification (if not already in place)

  • The AZ-Tech consultant conducts an internal search of our candidate data base

  • We prepare Advertising; either through our internal sources, on-line searches and /or via display advertising that is designed to attract the highest calibre candidates

  • Telephone screening and interviews to select short-listed applicants to agreed Job Specifications

  • Reference checking, testing, validation of credentials, presentation of resumes, candidate profiling

  • Arrange interviews between clients and candidates and co-ordination of the exchange of personal information in line with the provisions of the Privacy Act

  • Liaison and negotiation between the parties to ensure a successful outcome

  • Advise unsuccessful candidates of rejection

  • Coordinate mobilisation including tele-conferences (phone/video), transportation, accommodation etc for remote site positions

  • Preparation of offer documentation on behalf of the client to describe the elements of offer, conditions of employment, safety, security and other salient policy information that the parties must be cognizant of in order to make an informed decision. 

  • Checking progress of successful candidate and deal with post placement concerns by either party 

Fees:  Placement fees are generally calculated on the annual base salary of the successful candidate.   No fees are payable for ancillary employee benefits.   Fees are only payable if AZ-Tech Recruitment & Contracting negotiates a successful placement.   Placements are verified on date of commencement and invoiced that day.  Should you prefer, invoices can be structured to assist your cashflow ie: on an instalment basis. * Other arrangements by negotiation.

Testing:  Special Psychological Testing if used, will be charged at cost.  We generally utilise Careers MultiList Psychometric Testing packages on a fee for service basis at the client’s request.  A schedule of fees is available with a listing of available testing options.

Permanent Placement Rates:  Senior Technical & Executive Placement Fees:  generally 10% of annual base salary (this excludes non salary benefits) unless otherwise negotiated in advance.  Invoices payable 14 days net.   This rate is negotiable in circumstances where the potential employee can be placed on temporary hire for a trial period, or other special circumstances such as recruitment on a limited tenure basis, or as part of a special offer for high volume business.  In the event that the client wishes to engage an existing contract employee on permanent basis after a 12 month period of on-hire with AZ-Tech Recruitment & Contracting Pty Ltd, no further placement fee will be due.  Where the contractor has been engaged for a period of less than 12 months, a placement fee will be applicable on a pro rata basis of the usual permanent placement fee.

Please be aware that a permanent placement engages the employee on the payroll of the client company and in this event the client carries full responsibility for the payment of all employment on-costs including insurance’s.

Guarantee: Permanent Placements attract a 6 month replacement Guarantee, if the employee referred leaves your employ for whatever reason.   Discounts, if provided, may reduce or negate the guarantee.   Please discuss this matter with your Consultant.  Our Guarantee provides for a replacement candidate free of charge within the prescribed period.  Should AZ-Tech be unable secure a suitable replacement within the specified time period, a pro rata refund or credit will apply.   In the case of staged invoicing, outstanding payments may be waived.   Please discuss details with your Consultant.  Our Guarantee is validated by the timely payment of the invoice.  AZ-Tech takes our responsibility for the success of our placements seriously.  We follow up with the client and placed employee at regular agreed intervals to monitor progress and intervene with practical advice, solutions and counseling as necessary to ensure that the placement is given every chance to succeed.   We are happy to facilitate a free of charge performance review at the conclusion of the guarantee period and recommend this especially to those clients who do not have their own internal review systems.

Important: Candidates found to be employed by the client company within 6 months of referral will be considered to have been referred by AZ-Tech Recruitment & Contracting Pty Ltd and a fee for service will apply.  You should notify your Consultant if a candidate has already been referred from another source at the time of referral in order to avoid dispute over billing rights for placements.

Important Note:  Should our contractor leave during a contract or permanent placement period, or not accept a contract extension, AZ-Tech Recruitment & Contracting reserves the right of first option to provide a suitable replacement.    

In the event that we are unable to offer an acceptable replacement within one week of being notified that one is required, then you are welcome to undertake searches from an alternate source.  In certain agreed circumstances where candidates may be in extremely short supply, we may agree to waive this clause.  Agreement to variation is subject to our written authorisation, otherwise a fee equivalent to the net contract margin for the period equivalent to the previous month’s hire is payable. 

Advertising:   Searches for key position vacancies will benefit from the placement of display advertising in the press.  We prepare the text, book advertising space and manage responses.  Unlike many agencies, preparation costs for your advertising are included in our placement fee and our time is not charged for if we are unable to secure the placement of a suitable applicant.  Nominal classified and on-line line advertising is included in our placement fee, however display advertising space is an additional expense that must be passed on to the client.  We are happy to negotiate a cost effective arrangement with your budget and desired outcomes in mind. 

Privacy legislation:  AZ-Tech Recruitment & Contracting Pty Ltd complies with the Privacy Amendment Act 2000.  Personal identifying information if exchanged with your organisation, such as resume data of a candidate, is issued/received solely for the intended purpose that has been agreed between the parties.  Candidate details are supplied on the basis that the information is issued with the prior knowledge and agreement of the candidate.  Further dissemination or use of this information for secondary purposes is strictly prohibited under the Act without the permission of the candidate and such personal information must be stored and disposed of securely.

Contract Hire

Each Contract/Project is negotiated on an individual basis.  This is so that your special needs and circumstances can be accommodated.  We will ensure that rates paid and charged are equitable to both the client and the contractor.  Contractors can be hired on a flat hourly, daily, weekly or monthly rate as is found to be the most viable.  Professional contractors work on an Award free “flat rate for all hours worked” basis, or on Casual Award rates if applicable to your site (we recommend parity in rates to avoid dispute over working conditions).  Fixed Price quotes can be catered for in certain circumstances.

AZ-Tech Recruitment & Contracting P/L assumes the role of the Principal Employment Authority for PAYG Contractors on-hire.  We are responsible for the following responsibilities with the associated on-costs: 

Payroll administration charges - contractors are paid weekly into their nominated bank account

  • Payroll Tax

  • WorkCover Premiums

  • Public Liability Insurance

  • Superannuation (statutory component)

  • Professional Indemnity Insurance (special arrangements are made to cover Independent Contractors if they are uninsured).  Our policy dictates that we choose not to be involved in the placement uninsured independent contractors to ensure that risks are managed 

Clients are invoiced on a weekly basis.  Payment is based on the services/hours recorded on the Contractor’s timesheets plus the on-costs to cover casual employment entitlements and our business costs.  Timesheets must be authorised by the client to validate payment. 

AZ-Tech Recruitment & Contracting Pty Ltd draws up a custom designed contract to describe in detail the terms, policies and obligations of each of the parties to the agreement.  We reserve the right to withdraw from a contract agreement that we deem is contrary to sound human resource practice, is unreasonable, or fails to meet legislative compliance’s.   We manage the interests of the parties by clearly defining all special arrangements such as equipment hire, travel and accommodation, miscellaneous expenses, security access, safety apparel to be used on site etc as appropriate to the role. 

Invoice Payment:  Invoices are payable 14 days net from date of issue, unless otherwise negotiated.  The validity of our placement guarantee is validated by the timely payment of the invoice.  Contract invoices require prompt payment as contractors are paid weekly during their period project hire.  All invoices are GST inclusive.  Non payment of accounts beyond 60 days may result in our withdrawal of the contractor’s services.    

Safety/Environmental:  We can supply safety apparel to contractors on request.  Our company has developed a comprehensive integrated three part risk management process.  This requires the client and proposed worker to complete a declaration of their status with regard to on-site safety, health, welfare and environmental matters.  We will then undertake a risk analysis to determine whether the proposed placement can proceed.  We will work with you to ensure that Quality, Safety and sound Environment practices are adopted, thus ensuring the smooth progress of each assignment and effective management of risks.  In the event that we identify that a candidate would be placed at unreasonable risk in your workplace and that such risks are unable to be mitigated prior to a contract assignment commencing, then we reserve the right to withdraw a candidate / withdraw services from any high risk company that fails to take reasonable and prompt remedial action to rectify a known risk.. 

In respect of contract placements, we reserve the right to inspect the place of work to ensure that safety risks are managed to acceptable standards, as we are not in a position to provide direct supervision of our on-hired workforce. 

We undertake to check that all contractors will have appropriate qualifications, tickets, inductions, licences etc as part of our selection process.  Our contract prohibits contractors from using mobile plant, vehicles or machinery without a valid licence and also while intoxicated or under the influence of illicit drugs. 

Contractual Matters:  AZ-Tech Recruitment & Contracting Pty Ltd prepares detailed custom written contract documents for all contract placements – one for the client and another for the contractor.  Each of these documents is written in plain English to ensure the parties fully understand the reporting structure, terms agreed to in the negotiation, rates and guarantee provisions, safety, security, professional performance standards etc.  Our intention is that there be no surprises that would otherwise give rise to a potential dispute. 

Performance Standards:  A client may terminate a contract without notice in the event of proven, serious misconduct or deficiency.  In most circumstances, AZ-Tech is involved in performance monitoring unless the client directs otherwise, so any dispute is normally managed amicably in a controlled manner.  Our internal performance management process documents all reported incidents, feedback and actions and we take proactive action to control complaints and concerns in a systematic way. 

We note that independent contractors may be required to make good in the event of an error or omission with respect to the deliverables they are engaged to provide in so far as this can be reasonably attributed to them.  Uninsured Independent Contractors will not be referred.  However the client also carries an obligation to provide adequate and timely information, resources and co-operation to enable that contractor to carry out the agreed services in accordance with the specifications. 

Special terms and conditions that the client requires can be included in our contract with the candidate.  The client is also required to supply a purchase order in advance of the placement commencing, if one is required by the company to facilitate approval of the orders. 

Indemnities:   AZ-Tech carries Professional Indemnity and Public Liability insurance’s.  However our industry preferred supplier of these insurance’s advise us of important changes to Public Liability applicable from October 2003.   Please be aware of the new clauses that we are required to include in our terms of business as a condition of indemnity that relates to trade or blue collar workers whether they be trade or non qualified.  Please note that AZ-Tech Recruitment & Contracting Pty Ltd has never considered the “blue collar” market to be our core business.  However we have made the decision to exit from this market from October 2003.  We will not knowingly place “blue collar” workers on assignment, however we may be unaware if a white collar contractor that we refer to you, is subsequently involved in what our insurer may determine to be blue collar work.  We are concerned that there may be a grey area in the case of para-professional assignments. Therefore you need to advise us without delay if you anticipate any blue collar work being involved.  In such cases AZ-Tech will withdraw from these services, unless the client accepts full responsibility as set out in the clause below marked client obligations.  In the event that a white collar worker is involved with any blue collar activities, it is understood that such has occurred at the client’s liability or without our prior knowledge or agreement and that in such cases the following client obligations will apply:  

We are still able to place Trades personnel in permanent positions and temporary contractors if payrolled by the client where our fees become a pro-rata percentage of the permanent placement fee.

Client Obligations    

The client acknowledges that we are not performing the services required of our employees or independent contractors; but are instead the supplier of our employee and independent contractors, at the client’s request, to perform the work or services that it has requested.  From the time that our employees or independent contractors report to the client, for their duties they are under the care, control and supervision of the client for the supervision of the assignment.  

In these circumstances, the client agrees we will not be liable to the client in respect of any damage, loss or injury of whatsoever nature or kind, however caused, whether by our negligence or the negligence of one of our contractors or, their servants or agents or otherwise, which may be suffered or incurred, whether directly or indirectly, in respect of the services provided under these conditions of assignment. 

Special Services: 

Our Consultants can be contacted 24 hours per day, 7 days a week (out of hours by mobile phone).  We are happy to make ourselves available to assist clients and contractors after hours in order to ensure the total success of placements.  

Ex-Pat Support:  We mobilize personnel off-shore only where adequate insurance’s are put in place for the project period to protect the contractor’s health and welfare as the Australian Workers Compensation does not accept these claims.

AZ-Tech is a signatory to the Queensland Government GITC agreement for providers supplying IT & T services to government agencies.  Our GITC number is Q-1331.  This demonstrates that our supplier status has been vetted for suitability in respect of government contracts.
